Seasonal Booking Workflow

Every harvest cycle in Sarawak brings the same pressure: trucks need to be scheduled, sorting lines need to be staffed, and the warehouse has to accept fruit before it sits too long in the field. For a corporate plantation running multiple blocks, the booking process was spread across phone calls, spreadsheets, and whatever the site supervisor remembered to write down. That worked until two trucks arrived at the same gate at the same time, and one load had to wait three hours in the heat.

The project started with a simple question: what does a booking actually need to contain? Not a calendar entry, but a full handoff — block number, estimated tonnage, harvest date, transport provider, and a window for arrival. We mapped the existing flow by sitting with the logistics coordinator and the plantation manager, then built a workflow that forces those details into one place before any truck is confirmed.

The core decision was to make the booking window explicit. Instead of an open-ended request, each booking carries a two-hour arrival slot. That sounds restrictive, but it gives the warehouse a predictable load profile and lets the transport team plan routes without guesswork. The tradeoff is that the system needs to handle late arrivals and early harvests, so we added a simple reschedule step that keeps the original booking visible until the new slot is confirmed.

Implementation was deliberately phased. The first two weeks ran in parallel with the old spreadsheet process, so the team could compare what the workflow predicted against what actually happened at the gate. After that, the spreadsheet was frozen and the workflow became the single source of truth. The sorting line supervisor now sees the day's expected arrivals on a single board, and the logistics coordinator can flag a delayed truck before it becomes a problem.

The result is a booking process that feels less like chasing people and more like following a plan. The plantation still has unpredictable days — weather, equipment breakdowns, a block that ripens faster than expected — but the workflow gives everyone a shared reference point. When something changes, it changes in one place, and the next shift knows exactly what to expect.

The seasonal booking workflow is now the standard handoff between field, transport, and warehouse at the Sibu operation. It replaced a phone-and-spreadsheet process with a single shared schedule that everyone can see and update.
