When a new plantation operator signs on with Ninananas, the first week usually decides how smoothly the whole season runs. In the past, that meant phone calls, spreadsheets sent back and forth, and a lot of waiting for paperwork to land in the right inbox. The Client Onboarding Portal was built to replace that tangle with a single, structured entry point.

The portal gives each corporate client a dedicated workspace where they submit their harvest schedule, equipment requirements, and delivery preferences before the first truck rolls out. Instead of chasing updates across email threads, our logistics coordinators see the same data in real time. The client sees exactly what we have confirmed and what still needs their input.

What started as a simple form collection tool grew into the backbone of our supply chain coordination. The portal now handles three core functions:

  • Digital submission of harvest forecasts and weekly volume estimates
  • Equipment allocation requests tied to specific plantation blocks
  • Document upload for transport permits and export clearance

The rollout took about four months from first wireframe to full deployment. We worked closely with two pilot plantations in Sarawak to test the workflow during an actual harvest cycle. Their feedback shaped the final version: field supervisors wanted a simpler mobile view, so we stripped the dashboard down to the essential actions. Warehouse staff needed clearer status labels, so we replaced vague terms like "in progress" with concrete stages like "awaiting documents" and "confirmed for loading."

Since the portal went live, the average onboarding time for a new corporate client has dropped from roughly two weeks to four working days. More importantly, the number of misrouted deliveries caused by incomplete paperwork has fallen noticeably. The portal does not replace the human side of the relationship, but it removes the friction that used to slow everything down.

For clients, the benefit is straightforward: they log in, see what is needed, and get a clear answer about when their equipment will arrive. For our team, it means less time chasing information and more time planning routes and allocating machinery where it matters.
